Small fleet taxi dispatch software: what a firm of 1 to 15 cars needs

By Joe, founder of Dispatch AI · · 6 min read

The short answer

Small fleet taxi dispatch software should take bookings while you're driving, keep the booking record your council expects, send jobs to a handful of drivers and charge a sensible amount per car. A firm of 1 to 15 cars can skip most big-fleet tools. Answering a hand-held phone at the wheel risks 6 penalty points and a £200 fine.

This is a drawing, and the firm, the caller, the times and the fares are made up.

If you run 1 to 15 cars, you probably don't have a control room. You have one booking line, a few drivers you know by name, and an owner who drives as well as answers the phone. This guide covers what small fleet taxi dispatch software has to do for a firm like that, what you can leave out, and how to avoid paying for tools built for a firm ten times your size.

What does a small taxi firm need from dispatch software?

Five things, and they matter more than any feature list:

  1. A way to take bookings when nobody's free to answer, including when you're the one driving.
  2. Your own prices, so every quote matches your price list without anyone working it out.
  3. A booking record with every field your licence conditions ask for.
  4. A driver app, so jobs reach your drivers' phones without a call or a text from you.
  5. A price that makes sense per car, with a short notice period.

Everything else is optional at this size.

The first point matters most for small taxi firm software, because a call nobody answers is a job lost. If you run ten cars, you probably don't have a spare person to sit by the phone on a Saturday night.

How do you take bookings when you're the one driving?

Not by picking up a phone at the wheel. GOV.UK says it's illegal to hold and use a phone while driving, and you can get 6 penalty points and a £200 fine. If you passed your test in the last 2 years, you'll lose your licence. Hands-free is allowed, but the police can still stop you if you're not in control because you're distracted.

That's the owner driver's problem in one line: the phone rings while you've got a passenger, and the caller rings someone else. Here are the usual ways round it, and the catch with each.

OptionWhat happens to the bookingThe catch
Let it go to voicemailThe caller leaves a message, or rings another firmYou ring back between jobs, if they're still waiting
Divert to a partner or relativeSomeone answers in your firm's nameThey need your prices, your diary and a basic DBS check
Online booking on your websiteThe passenger books without ringingOnly helps passengers who'd rather not ring
Hands-free, answered on the moveYou take the details while drivingNothing gets written down, and you're distracted
An answering service or AI phone agentThe call is answered and the booking savedYou pay for it, so test it on your own callers first

Dispatch AI is booking and dispatch software for taxi and private hire firms. Its AI phone agent answers your booking line when your office doesn't, quotes your own fixed prices and books the job into your Dispatch AI account. The guides to AI phone agents for taxi firms and missed calls in a taxi office go through the options in more detail.

What can a small fleet leave out?

A small fleet can leave out most of the tools built for a big control room. Here's how the common extras look at 1 to 15 cars:

FeatureAt 1 to 15 carsWhy
Automatic allocation by rulesOptionalWith a few drivers you know who's free, and a list you can tap is enough
Zone queues in the driver appSkipBuilt for dozens of cars waiting across a big area
Multi-base set-upSkipOne office, one licence
A separate passenger appOptionalA booking page on your website does most of the same job
Multi-screen dispatcher consoleSkipOne person, one screen, often a phone
Driver statements and commissionOptionalUseful once drivers pay you rent or commission
Business accountsKeep if you do account workOne school or hotel account needs proper monthly records

Extra tools cost more than the subscription. Every screen is something to set up, learn and keep tidy, and in a small firm that's your evenings.

Do the record-keeping rules apply to a small firm?

The record-keeping rules apply in full, whatever the fleet size. Outside London, section 56 of the Local Government (Miscellaneous Provisions) Act 1976 asks every licensed private hire operator to record each booking before the journey, in the form the council sets. A one-car firm needs an operator licence too: section 46 of the same Act says no one may operate a vehicle as a private hire vehicle without one.

The Department for Transport's Statutory Taxi and Private Hire Vehicle Standards list the fields councils should ask for, including the name of whoever took the booking and whoever dispatched the car. In a small firm that's often you, and the booking record should still say so.

The standards also ask operators to see a basic DBS check for everyone who takes bookings or dispatches cars. That includes the partner who covers the phone on a Saturday.

Software earns its place in a small firm right here. The record is written as the booking is made, so nobody fills in a book at the end of a long shift from memory. The guide to private hire operator record keeping lists every field.

How much should small fleet taxi dispatch software cost?

Per-vehicle or per-driver pricing means you pay for the cars you actually run, which suits a small fleet that grows a car at a time. A flat plan built for 50 cars doesn't.

Check four things on any quote:

  • the minimum charge, or the minimum number of vehicles you pay for
  • what counts as a vehicle: every car on the system, or only the ones that worked that month
  • running costs such as text messages, maps, card fees and call minutes for a phone agent
  • the notice period if you want to leave

The guide to taxi dispatch software in the UK explains each way suppliers charge. Our own plans are on the Dispatch AI prices page.

Should a small firm have its own branded app?

Only if you'll use it. A branded driver app puts your firm's name in your drivers' hands. A branded passenger app only helps if your passengers download it.

If you want an app listed under your own firm's name, you'll need developer accounts. Apple lists its Developer Program at US$99 a year, and Google Play charges a one-time US$25 registration fee.

Apple's App Review Guideline 4.2.6 says apps made from a commercial template are rejected unless they're submitted by the provider of the app's content. So a branded iOS app in your firm's name has to be published from your own Apple developer account. The guide to publishing a taxi app on the App Store and Google Play covers the steps.

When does a small fleet outgrow its first system?

You'll know when the system starts slowing you down. The signs to watch for:

  • you're giving out jobs by phone call or text because the system's too slow
  • two people take bookings at once and the same car gets booked twice
  • you've won account work that needs monthly statements
  • drivers work from more than one base
  • you can't pull up a full booking record quickly when the council asks

None of these means buying a big-fleet system on day one. Pick software that can add them later on the same records, so you never have to move your booking history to grow.

Frequently asked questions

Is a paper booking book enough for 3 cars?

It can be, if it holds every field in your licence conditions and you fill it in before each journey. Section 56 asks for the record in the form your council prescribes, not on a computer. The weak spots are bookings taken on the move, and finding one booking fast when an officer asks.

Can I run dispatch software from my phone?

Cloud dispatch systems run in a web browser or an app, so a phone is enough to take bookings and give out jobs in a small office. Never do it while you're driving: holding and using a phone at the wheel is illegal.

Do I need an operator licence if I'm the only driver?

Yes, outside London. Section 46 of the 1976 Act says no one may operate a private hire vehicle without an operator licence, and GOV.UK says your driver, vehicle and operator licences all need to come from the same authority. In London, TfL issues operator licences.

What if my drivers use their own phones?

Driver apps run on drivers' own phones, so that's fine. Agree in writing who pays for the phone and the data, and give each driver their own login, so the booking record shows the right name.

The growth audit is free and takes about 30 minutes, on the phone or a video call, for firms with 5 or more cars. Joe looks at how your calls, nights and bookings work, works out your missed-call sum with you, and you hear the phone agent book a job. It helps to have a rough idea of how many calls ring out on a typical day and what a typical job is worth to you.

From Joe, the founder

I'm Joe, the founder of Dispatch AI. We built it for the calls a busy office can't get to, like the one that rings out while you're on another call or comes in at two in the morning after everybody's gone home.

Your controller still runs the office. The phone agent only gets the calls nobody's free to take, and anything odd comes back to you.

You'd be one of our first operators, so I won't quote you numbers we haven't counted. That's why every offer lets you watch it book jobs on your own line before you pay for a plan.

You deal with me, the founder, directly. Ring the demo line tonight, and if you think it's worth a proper look, book your free growth audit and I'll ring you to sort out a time.
