Privacy notice for the taxi and private hire firms we contact

How we use the business details of the taxi and private hire firms we write to, ring or email, where we got them, and how to tell us to stop.

Who we are

Dispatch AI is a trading name of CABO TECH SOLUTION AI LTD, registered in England and Wales, company no. 16255667. Registered office: 17 East Fields Road, Bristol BS16 1FQ. We are the controller for the details described in this notice.

Who this notice covers

Owners, directors and staff of private hire and taxi firms we write to, ring or email about Dispatch AI, and anyone who asks for a demo through this website or rings our demonstration line.

Where we got your details

If we wrote to you first, we didn't get your details from you. We collected business details from public sources:

  • Companies House: company name and number, registered office, and the names of directors and people with significant control.
  • Your firm's own website.
  • Your firm's Google Business Profile and other public business listings.
  • Your firm's public social media pages.

The letter or email we sent you names the sources we used for your firm.

We don't use any other business's customer lists to contact you.

What we hold about you

  • Your firm's name, address, phone numbers, email addresses and website.
  • The names and roles of the owner or directors, where these are public.
  • Public facts about the firm: the area it covers, whether its website takes bookings, which booking or dispatch system it appears to use, its approximate size, and its public review count and rating.
  • The offer code on any letter we sent you, and notes of our contact with you, including whether you asked us to stop.

If you ask for a demo through this website, we also hold what you put in the form (name, firm, phone, email, best time to ring, fleet size and message), the page you sent it from, the offer code, which version of the page you saw, any campaign tags in the link, when you first visited, the time, and the country your connection came from. We keep a copy with the website's host and pass your request to our own Dispatch AI system, where Joe arranges demos. We use your IP address briefly to stop the form being abused: we keep a scrambled (hashed) version for one hour, and never with your details.

If you ring our demonstration line, the call is recorded and transcribed, and the test booking you make is stored. We delete demo recordings and transcripts after [RECORDING DAYS] days.

Why we use your details, and the lawful basis for it

  • To write to your firm, and to ring or email your business, about Dispatch AI: legitimate interests. Our interest is offering a business product to licensed operators who might use it. We've balanced it against yours: we only use business details, we contact you about your business, we give you a simple way to stop, and we stop when you ask.
  • To decide which firms to contact first: legitimate interests. We put firms in order using the public business facts above (for example size, area and whether the website takes bookings). It only decides the order in which we get in touch. It has no legal or similar effect on you, and we never share the ranking.
  • To reply when you contact us or ask for a demo: to take steps you've asked for before a possible contract, or legitimate interests.
  • To see which letter worked: legitimate interests. We count responses by offer code.
  • To keep a record of who asked us not to contact them: legitimate interests, and so we can show we respected your objection.

How we contact you

  • Post: letters to your business address.
  • Phone: before we ring, we check your number against the Telephone Preference Service and the Corporate TPS, within the 28 days before the call. We show our number when we call. We never use recorded or automated calls, or our AI phone agent, to market to you.
  • Email: only to company email addresses of limited companies and LLPs we have checked on Companies House, and every email tells you how to opt out.
  • Text or WhatsApp: only if you've asked us to.

How to tell us to stop (your right to object)

You can tell us to stop at any time, free, and we will. Ring [FOUNDER MOBILE], email [PRIVACY EMAIL], write to [POSTAL ADDRESS], or reply to any letter or email. You don't need to use any particular words.

If you tell us to stop on any channel, we stop all of them: letters, calls and emails, for every phone number, address and listing we hold for your firm, on the day we receive it. We keep a short "do not contact" record (your firm's name and the contact details you asked us not to use) so that we don't contact you again.

Who we share your details with

Only service providers who work for us under contract:

  • Cloudflare: hosts this website and keeps a copy of form messages.
  • [platform hosting provider]: hosts our own Dispatch AI system, which records demo requests.
  • Resend: sends email for us, such as the note to Joe that a demo request has arrived, and our emails to limited companies.
  • [printer name]: prints and posts our letters.
  • [TPS screening service]: checks numbers against the TPS and Corporate TPS.

We don't sell your details, and we don't share them with anyone except the service providers listed here.

When your details leave the UK

Some of these providers are based in the United States. Where your details leave the UK, we rely on the UK's data bridge with the United States, or on the Information Commissioner's international data transfer agreement or addendum.

How long we keep your details

  • Prospect records, call notes and form messages: [RETENTION PERIOD] after our last contact with you, then deleted.
  • Demonstration-line recordings and transcripts: [RECORDING DAYS] days.
  • "Do not contact" records: for as long as we market to operators, so we keep honouring your request.

Your other rights

You can ask for a copy of your details, ask us to correct or delete them, ask us to restrict how we use them, and object to how we use them. If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd like the chance to put it right first.

This website

This website runs no advertising or third-party tracking scripts. When we're testing two versions of the home page, it sets one cookie, dai_v, which remembers which version you saw for 30 days so the page doesn't change between visits. The cookie holds only the name of that version.

The website also counts page views and clicks on its buttons, so we can see which version of a page leads to more demo requests. Each count records the page, the version, the offer code, any campaign tags in the link and when you first visited. Your browser keeps that first-visit time itself. On the seven questions at /start/, a count also records which question was answered and which option was picked. The counts never include your name, contact details, IP address, your town or any figure you type in.

Its fonts come from Google Fonts, so Google sees your IP address when your browser fetches them.
